Configuring the SoV/WBS on a Contract
Define the Work Breakdown Structure (WBS) for a contract and link it to your project budget's cost codes using INGENIOUS.BUILD.
Overview
The Schedule of Values / Work Breakdown Structure (SoV/WBS) on a contract outlines the line items and ties them to cost codes in your project budget. These line items become the Schedule of Values for invoicing under the contract.
Prerequisites

Ensure the contract is created before configuring the SoV/WBS.
Process
1. Understanding the SoV/WBS Structure

Old Structure: Quoted Item → Phase → Task

New Structure: WBS 1 → WBS 2 → WBS 3
2. Adding SoV/WBS Items

Navigate to the SoV/WBS tab in the contract.

Choose one of the following options:

Load from Template: Use pre-configured templates (set by Workspace Administrators).

Add Schedule of Values / Work Breakdown Structure: Add items manually.

To add more items individually, click Add WBS 1.

3. Linking Items to Cost Codes

Assign each WBS 1 item to a cost code in the Project Budget.

To apply a single cost code to the entire contract, click Apply to All.

Contracts can be spread across multiple cost codes if needed.
4. Breaking Down WBS Levels

WBS 1: High-level breakdown (e.g., Glazing).

WBS 2: Sub-level details (e.g., Exterior Glazing, Interior Glazing).

WBS 3: Further granularity (e.g., Level 2, Level 3).

5. Assigning Values and Retention

Fill in the value for each WBS item. The sum of all WBS 1 values equals the total contract value.

Retention defaults to the percentage set in the Rules tab but can be modified for individual line items if needed.
6. Locking and Approving the SoV/WBS

Before finalizing, save the contract as Executed:

Add an optional note in the provided field.

Click Save as Executed to lock the contract.

WBS 1 items are locked upon execution, while WBS 2 and WBS 3 remain editable for detailed scheduling.

Once finalized, click Approve SoV/WBS to complete and lock the structure.
Key Points

Executed contracts show their value as a Committed Cost in the Original Contract Value column on the Budget/ACR.

Changes to WBS 2 and WBS 3 can be made post-execution to reflect evolving project details.

The SoV/WBS ensures precise tracking and alignment between contract values and project budgets.
