How to Navigate the Schedule

How to navigate the Schedule module, including activities, milestones, connections, comments, attachments, sharing, filters, and exporting.


Overview

The Schedule module lets you plan, track, and adjust project timelines. Schedules start in Draft mode, then are published to share with internal and external team members.

Schedule Overview

Draft vs. Publish

  • Draft Mode — the default state when a schedule is created. Changes are visible only to you.

  • Publish Schedule — click Publish Schedule to share the schedule with internal and external team members.

Actions Dropdown

The Actions dropdown menu at the top of the schedule includes:

  • View Critical Path — highlights tasks that directly impact the project's timeline.

  • Add Schedule Template — applies a predefined schedule template.

  • Lock Baseline — locks the initial Baseline Dates as a reference point for tracking progress or deviations.

  • Rename — rename the schedule.

  • Timeline — shows a general log of when the schedule was started, completed, baseline locking/unlocking, and other actions.

  • Discard Changes — cancels unsaved modifications.

Timeframe views

Use the tabs (Today, Day, Week, Month, Quarter) at the top of the schedule to zoom in or out.

Activities and Milestones

  • Activities — tasks with a start and end date that need to be performed to achieve project goals (e.g., "Create Schedule," "Engage Team Resources").

  • Milestones — key points or events in the project timeline, often marking the completion of a significant phase or deliverable (e.g., "Lease Action Request").

 

Tip: Use Analytical Milestones to track milestones across multiple projects.

Connecting Activities and Milestones

Connecting activities and milestones defines the workflow and clarifies dependencies. There are two ways to connect:

  1. Drag and connect directly on the Gantt chart.

  2. Click into an activity or milestone, then use the Connected Activities section to configure the connection.

Connection types

  • Finish-to-Start (FS) — the successor cannot start until the predecessor is completed. Most common.

  • Start-to-Start (SS) — the successor cannot start until the predecessor starts.

  • Finish-to-Finish (FF) — the successor cannot finish until the predecessor finishes.

  • Start-to-Finish (SF) — the successor cannot finish until the predecessor starts.

Predecessors and successors

  • Predecessor — a task that must be completed before the successor can begin.

  • Successor — a task that depends on the completion of a preceding task.

Lead/Lag

The amount of time an activity can be delayed without affecting the overall project timeline. A float of 0.00 Day indicates no flexibility in the schedule.

Why these connections matter

Clear dependencies help identify the critical path (the sequence of tasks that directly impact the project's end date), manage delays effectively, and optimize resource allocation.

Schedule dates

  • Baseline — the target date established during project setup.

  • Anticipated (Activity only) — the projected date based on current progress.

  • Actual — the date when the milestone or activity was completed.

  • Variance — the difference between the Actual and Baseline dates. If no Actual Date exists, the variance uses the Anticipated and Baseline dates.

Bulk Actions

Select multiple Activities or Milestones and choose one of the following actions:

  • Change Dates

  • Assign Responsible Party

  • Delete

Comments and Attachments

Comments — add general comments or @mention a user from the directory.

Attachments — add files to an activity to keep project-related documents in one place.

 

Note: The schedule must be published before comments or attachments can be added.

Timeline, Follow, and Filters

  • Timeline — view record changes for an activity.

  • Follow — get update notifications via the platform and email. The schedule must be published to follow an activity.

  • Filters — filter activities by criteria such as created by, status, dates, and assignees. Use the search bar to find specific elements.

Sharing a Schedule

Share a published schedule with external contacts and team members. When inviting a contact or employee, choose whether they can View or Edit the schedule.

Exporting a Schedule

Export the schedule to PDF, Microsoft Project, or Excel.
